    Good morning!

     

    Attached is our Board Policy on document retention. Our IT department maintains a spreadsheet of the type of documents and their retention schedules working with representatives of each division to revise schedules as needed and ensure compliance.

     

    For our board materials:

     

    Board Meeting Minutes and Resolutions – saved in perpetuity (electronic files only)

    Board Meeting materials – saved for 3 years (annual purge)

    Committee files – All committee agendas, materials, and minutes are only saved for 3 years (annual purge)

     

    Our legal counsel helped us establish this schedule when we tackled boxes of files that had been in storage since the 1970s for the Board and all of its committees.
